Privacy Policy
Privacy at a glance
This summary introduces the main points of this Privacy Policy in plain language. Telomerz Tech collects information that is reasonably needed to operate its website and services, respond to enquiries, manage community participation, organise events, communicate with customers and visitors, consider employment applications, maintain security and improve the experience we provide.
We do not sell personal information. We limit access to people and service providers that need the information for a legitimate purpose, and we expect them to protect it. When we ask for community details such as a participant’s location, education, current status or interests, we use those details to understand the community and plan useful activities rather than to make automated decisions about an individual.
You may have rights over your personal information, including rights to ask for access, correction or deletion, to withdraw consent, to object to certain uses and to raise a grievance. The availability and scope of each right depends on the law that applies to the particular processing. The remainder of this policy explains these points in greater detail and should be read as the complete statement of our privacy practices.
Scope and who we are
Telomerz Technologies Private Limited (“Telomerz Tech”, “we”, “us” or “our”) respects your privacy. This Privacy Policy explains how we handle personal information when you visit telomerztech.com, submit a website form, join or register for our community, subscribe to communications, apply for a role, attend one of our events, or otherwise contact us.
For personal information collected directly through this website, Telomerz Tech generally determines why and how that information is used and therefore acts as the relevant controller or data fiduciary, as applicable.
This policy covers information collected through our public website, enquiry and demonstration forms, community registration forms, newsletters and other communications, online or in-person events, recruitment activities, support conversations and related business interactions. It also explains the limited technical information that may be generated when a browser or device connects to our digital services.
In this policy, “personal information” or “personal data” means information about an identified or identifiable individual, or any equivalent concept under applicable law. “Processing” means an operation performed on personal information, such as collecting, recording, organising, storing, consulting, using, transmitting, sharing, correcting, anonymising or deleting it.
This policy primarily covers the public company website and the circumstances in which Telomerz Tech decides why and how personal information will be used. Where Telomerz Tech processes workforce, project, account or other information through a software service on behalf of a customer, the customer may determine the purpose and means of that processing. In that situation, the customer’s privacy notice and its agreement with Telomerz Tech generally govern the processing, and privacy requests about that information should usually be directed to the customer first.
We apply this policy together with applicable privacy and technology laws. Where a law, rule, notification or individual provision comes into force in stages, we apply it from the date on which it legally applies to the relevant processing. Nothing in this policy limits a right that cannot lawfully be limited, and nothing creates a contractual right beyond the rights provided by applicable law and any agreement that expressly applies to you.
Our website and communications may be available to people outside India. If you access them from another country, local privacy requirements may also apply. Where those requirements provide additional protections, we will handle the relevant information in accordance with the obligations that apply to us.
Information we collect
The information we collect depends on how you interact with us.
Contact and identity information
When you submit an enquiry, request a demonstration, ask for support, attend a meeting or communicate with us, we may receive your name, email address, telephone number, organisation, job title, professional role, country or general location, preferred language and any other contact details you provide. We may also maintain a record of the nature of your relationship with Telomerz Tech and the people within our organisation who communicate with you.
Account and profile information
If a service or protected area requires an account, we may collect a username or account identifier, profile information, organisation or team membership, account status, role and permissions, authentication events, preferences and information used to administer the account. Passwords should be stored only in protected forms suitable for authentication. We may record when an account is created, activated, updated, suspended or closed.
Community registration and participation information
When you complete the Community Join Form or another community registration process, we may collect your contact details together with your place or location, educational background, current status such as student, employed, self-employed or seeking work, professional interests, areas you wish to learn about and the types of activities in which you would like to participate. If the community offers discussions, projects, courses or events, we may also keep records of registrations, attendance, submissions, contributions, completion or participation.
We ask for community details so that we can administer registrations, understand the overall composition of the community, identify interests shared by members and plan relevant discussions, events, learning activities and opportunities. We may combine responses to create aggregated statistics or anonymised insights. We do not use these details to make solely automated decisions that produce legal or similarly significant effects for individual members.
Enquiry, communication and support information
We may keep the content of messages you send through forms, email, telephone, meetings, social channels or other communication methods, together with related attachments, support questions, requested actions, communication preferences and our replies. Where a conversation relates to a customer project, we may also record the relevant organisation, project, product, issue, priority, resolution and follow-up history.
Transaction and business information
If you or your organisation purchases or enquires about a service, event, course or other offering, we may process quotation, order, subscription, invoice, tax, payment status, billing contact, contract and commercial relationship information. Payments may be processed by an independent payment provider. We generally receive confirmation, transaction identifiers, amount, currency and payment status rather than complete card or banking credentials, although the exact information depends on the payment method and provider.
Technical, device and usage information
When your browser or device connects to our website or a service, servers and security systems may generate information such as an Internet Protocol address, browser and device type, operating system, language, approximate region derived from the IP address, referring page, requested pages, time and date, request identifiers, response status, session activity, error information and diagnostic logs. We may use this information to deliver content, maintain security, diagnose failures, prevent abuse and understand whether the website is operating correctly.
Marketing, event and preference information
If you subscribe to updates or register for an event, webinar, workshop or campaign, we may record the subject of the communication, registration and attendance details, subscription choices, consent records, preferred topics and whether an electronic message was delivered or interacted with. We use these records to honour communication preferences, evaluate programme usefulness and avoid sending messages after a valid opt-out.
Recruitment and professional information
When you apply for employment, an internship or a contractor opportunity, we may receive your curriculum vitae, work and education history, qualifications, skills, portfolio or work samples, professional references, interview notes, compensation expectations, availability and information relevant to eligibility to work. If we need additional screening or identity information, we will request it at an appropriate stage and explain the purpose where required.
Information from customers and other people
A customer, employer, team administrator, event organiser, referral contact or community participant may provide information about you when it is reasonably necessary for a service or interaction. The person providing the information is responsible for having authority to do so. If you submit information about another individual, you should ensure that they have been informed and that the disclosure is lawful.
Information you choose to provide
Free-text fields and attachments may allow you to provide additional information. Please provide only what is relevant to your request. Do not submit passwords, financial account credentials, government identifiers, health information, biometric information or other sensitive or special-category information through a general website form unless we specifically request it through an appropriate channel and explain why it is needed.
Some fields are required because we cannot complete the requested action without them. Other fields are optional and help us tailor a response or understand your interests. Where it is not clear from the form, you may ask us whether information is required and what may happen if you do not provide it.
Please do not submit sensitive or special-category information through general website forms unless we specifically request it and explain why it is required.
How we collect information
We collect information directly from you when you complete the Community Join Form, submit an enquiry or demonstration request, create an account, communicate with us, register for or attend an event, participate in a community activity, apply for a role, enter into a commercial relationship or otherwise choose to provide information.
We collect some technical information automatically when a browser, device or application interacts with our systems. This may occur through web-server logs, security tools, authentication mechanisms, access and refresh tokens and other technologies that are necessary to deliver a requested page or service. Automatically generated information helps us route traffic, remember an authenticated session, investigate errors, identify suspicious activity and maintain system availability.
We may receive information from the organisation with which you are associated, such as your employer, customer account administrator, educational institution, event organiser or project coordinator. For example, an administrator may invite you to a team, assign an account role or provide your business contact details so that we can deliver an agreed service.
Where permitted by law, we may receive professional information from public sources, company websites, public professional profiles, event directories and people who introduce or refer you. We use this information only when it is relevant to a reasonable business, recruitment or community purpose and do not treat publicly available information as exempt from privacy protections.
Service providers may return information needed to complete a transaction or communication. A payment provider may confirm whether a payment succeeded, an email provider may report whether a message was delivered, and a security provider may supply a risk signal associated with a request. We may combine information received from these sources with information already held so that records remain accurate and the relevant activity can be completed.
We aim to collect information fairly and transparently. Where the law requires a specific notice or consent at the point of collection, we will provide that information through the relevant form, interface, contract or communication.
How and why we use information
We use personal information only where we have an appropriate reason under applicable law. Depending on the circumstances, this may include your consent, taking steps at your request, performing a contract, complying with a legal obligation, or pursuing legitimate business interests that do not override your rights.
We use contact and communication information to receive and answer enquiries, arrange demonstrations and meetings, provide requested information, prepare proposals, respond to support questions, manage ongoing conversations and follow up on matters you ask us to address. This use may be necessary to take steps at your request, perform an agreement or pursue our legitimate interest in communicating with prospective and existing customers.
We use account, identity and technical information to create and administer accounts, authenticate users, assign appropriate permissions, keep sessions secure, deliver requested functionality, maintain records of authorised use and provide customer support. Where an account is supplied through an organisation, we may use the information according to the organisation’s instructions and the agreement governing that service.
We use community registration and participation information to review and manage registrations, communicate with members, organise groups, understand the broad composition and interests of the community, plan relevant discussions and programmes, measure participation and improve future activities. This may be necessary to provide the community experience you request or may be based on our legitimate interest in maintaining a useful and well-administered community, subject to any consent requirement that applies.
We use event and learning information to manage enrolment, attendance, access, reminders, certificates or participation records where offered, answer questions and evaluate whether a programme was useful. If another organisation sponsors or jointly organises an event, we will explain any intended disclosure that is not already apparent from the registration context.
We use technical, device, usage and security information to serve pages, balance and monitor systems, maintain session integrity, troubleshoot faults, protect accounts and networks, detect attempted fraud or misuse, enforce our terms and improve reliability, performance, accessibility and user experience. Where practical, we use aggregated or de-identified information for broad analysis rather than information that directly identifies a person.
We may use your contact details and preferences to send service communications, requested updates, event notices or marketing information. Service communications explain matters such as an account, registration, security event, requested support action or material operational change and may be necessary even if you do not receive marketing. Promotional communications are sent only where we have an appropriate legal basis. You may unsubscribe through a link in the message where available or contact us using the details below.
We use recruitment information to acknowledge and assess applications, communicate with candidates, arrange interviews, verify information where lawful, make selection decisions, prepare an offer, maintain appropriate recruitment records and meet employment-related obligations. Providing an application does not guarantee an interview or offer.
We use transaction, contract and business records to prepare quotations, administer subscriptions and projects, issue invoices, confirm payment, maintain tax and accounting records, manage customer and supplier relationships, handle complaints and establish, exercise or defend contractual and legal claims.
We may use relevant information to comply with laws, lawful requests, court orders, regulatory obligations and internal governance requirements; to cooperate with competent authorities; to protect the rights, safety and property of users, Telomerz Tech and others; and to investigate activity that may violate law or our terms. We assess requests for disclosure and seek to provide only information that is reasonably required.
If Telomerz Tech considers or completes a merger, financing, investment, reorganisation, acquisition, sale of assets or similar corporate transaction, information may be reviewed and transferred as part of due diligence and completion. We apply confidentiality and access restrictions appropriate to the stage and nature of the transaction.
When processing is based on consent, you may withdraw that consent for future processing. Withdrawal does not affect processing that was lawful before withdrawal. When we rely on a legitimate or comparable permitted business purpose, we consider the purpose, necessity of the processing and potential impact on individuals, and we apply measures intended to reduce unnecessary impact.
We do not currently use personal information collected through the public website to make a decision based solely on automated processing that produces legal or similarly significant effects. If that practice changes, we will provide any notice, explanation and choice required by law.
How we share information
We share personal information only where reasonably necessary for a purpose described in this policy, where you direct or authorise the disclosure, or where law permits or requires it. Access within Telomerz Tech is limited to authorised personnel who need the information for their work, such as responding to an enquiry, supporting a service, administering the community, managing an event, reviewing an application or maintaining security.
We may use service providers for website and application hosting, cloud infrastructure, data storage, security monitoring, email and other communications, customer relationship management, form processing, payment processing, analytics that we choose to deploy, recruitment, professional collaboration and technical support. A provider receives only the information reasonably needed to perform its assigned function. We use contractual, organisational and technical controls appropriate to the service and require providers to process information for agreed purposes and protect it.
Professional advisers such as lawyers, accountants, auditors, insurers, bankers and consultants may receive information where it is relevant to the advice, assurance, financing or protection they provide. These recipients are subject to professional, contractual or legal confidentiality obligations as applicable.
If you access a service through a customer or employer, that organisation and its authorised administrators may be able to manage the account and view information associated with its workspace, team or contract. The organisation determines its own access permissions and is responsible for explaining its monitoring and administration practices to its users.
For an event, course, community project or co-sponsored activity, we may provide limited participation information to an organiser, instructor, host or sponsor where necessary to deliver that activity or where you have been clearly informed of the disclosure. We do not provide an attendee list to an unrelated party for its independent marketing unless there is a lawful basis and any required choice has been offered.
We may disclose information to a court, regulator, law-enforcement body, government authority or other competent recipient where we reasonably believe disclosure is required by law, necessary to respond to valid legal process, or permitted to protect rights, safety, systems or property. We may also disclose information to investigate suspected fraud, security incidents, misuse or violations of our terms.
Information may be disclosed to a prospective or actual buyer, investor, lender, adviser, successor or other participant in a merger, investment, financing, restructuring, insolvency, sale of assets or similar transaction. Such disclosures are limited by the transaction context and appropriate confidentiality measures.
We may share statistical, aggregated or de-identified information that does not reasonably identify an individual. We take reasonable steps not to use anonymisation as a label where information can readily be linked back to a person.
We do not sell personal information. We also do not rent lists of website visitors or community members to unrelated organisations for their independent advertising.
International transfers
Telomerz Tech operates from India and may use service providers in other countries. As a result, personal information may be accessed from or transferred to a country different from the country where it was collected.
A country receiving information may have privacy, government-access and legal-procedure rules that differ from those in your location. The fact that a provider operates internationally does not remove our responsibility to consider the protection appropriate to the processing we control.
Where transfer restrictions apply, we use an available lawful mechanism or safeguard. Depending on the relevant law, this may include a permitted destination, an adequacy regulation or decision, approved or standard contractual clauses, data-processing terms, confidentiality obligations, security controls and an assessment of transfer-related risks. We also comply with restrictions or conditions notified by the Government of India as and when they apply.
The locations involved can change when service providers alter infrastructure or support arrangements. You may contact us if you have a specific question about an international transfer of your personal information. We may provide information in a form that protects confidential security and commercial details.
How long we keep information
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including to meet legal, accounting, security and reporting obligations, resolve disputes and enforce agreements.
Retention periods vary depending on the type of information, the relationship involved, applicable limitation periods, legal requirements, risk and whether the information can be safely deleted or anonymised.
Enquiry and business-contact records may be kept while a request or relationship remains active and for a reasonable follow-up period. Customer, contract, invoice and transaction records may need to be kept for longer periods required by tax, accounting, company, consumer-protection or limitation laws. Recruitment records may be retained for the recruitment process and a reasonable period afterward, or longer with an appropriate basis if we wish to consider a candidate for future opportunities.
Community and event registration information may be retained while membership or participation remains active and for a reasonable administrative period afterward. Communication preferences and suppression records may be kept after an opt-out so that we can remember not to send further marketing. Security and diagnostic logs are generally kept for a period proportionate to their operational and investigative purpose.
When information is no longer required, we delete it, anonymise it or isolate it from ordinary use until deletion is technically practical. Residual copies may remain temporarily in protected backups, archives or disaster-recovery systems and will be handled according to applicable retention and access controls. We may retain limited information where necessary to establish that a request was completed, comply with law, prevent fraud or resolve a dispute.
A request to delete information does not always require immediate deletion of every record. We may retain information where law requires it, where a legal exception applies, where it is necessary for a continuing service requested by you, or where a valid claim or security concern must be addressed. We will explain a material limitation when required.
Security
We use reasonable technical and organisational measures designed to protect personal information from accidental or unlawful loss, alteration, disclosure, access or destruction. Measures may include access controls, encryption where appropriate, secure configuration, logging, monitoring, backups, staff awareness and supplier controls.
No method of internet transmission or electronic storage is completely secure. You should use caution when sending confidential information through open website forms.
Our safeguards are selected with regard to the nature and volume of information, the purpose of processing, foreseeable threats, available technology and the potential impact of a breach. Depending on the system, controls may include role-based access, least-privilege administration, protected credentials, encryption in transit, encryption at rest where appropriate, network and application protections, change management, vulnerability remediation, incident response procedures and recovery testing.
People who access personal information for Telomerz Tech are expected to maintain confidentiality and use it only for authorised work. We consider data-protection and security expectations when selecting relevant suppliers and may review their commitments according to the risk of the service they provide.
You also play a role in security. Use unique and strong credentials, protect devices and email accounts, sign out from shared devices, do not disclose authentication tokens, and notify us promptly if you suspect unauthorised account use or receive a suspicious message claiming to be from Telomerz Tech.
If we become aware of a personal-data breach, we assess its nature, scope, likely consequences and the measures needed to contain and remediate it. We maintain records and notify affected individuals or competent authorities where and when applicable law requires notification. A notification may be updated as an investigation develops.
Your privacy rights
Depending on your location, your relationship with us and the law that applies, you may have a right to receive information about our processing and to request a summary of personal information being processed. You may also be able to ask for access to the information and information about the identities or categories of other organisations with which it has been shared, subject to legal limitations.
You may ask us to correct inaccurate or misleading information, complete information that is incomplete and update information that is out of date. Keeping account and contact information accurate helps us deliver services and respond to you correctly.
You may request erasure of personal information where it is no longer necessary, where consent has been validly withdrawn, where processing is unlawful or where another applicable ground exists. You may also have rights to request restriction of processing, object to particular uses or receive certain information in a structured and portable format. These rights vary between legal systems and do not apply in every circumstance.
Where processing is based on consent, you may withdraw consent through the relevant preference control or by contacting us. Withdrawal applies to future processing and does not invalidate processing carried out before withdrawal. You may object to direct marketing at any time, including by using an unsubscribe mechanism in an electronic message.
Where applicable law provides it, you may nominate another individual to exercise specified rights in the event of death or incapacity. We may require reasonable documentation to confirm the nomination, the relevant event and the nominee’s authority.
You may raise a question, grievance or complaint directly with us. Where available, you may also complain to a competent data-protection authority or board. We encourage you to contact us first so that we have an opportunity to understand and address the concern, but doing so does not remove a right to approach an authority.
These rights are not absolute and may be limited by law. We may need to verify your identity before completing a request. We will not discriminate against you for exercising a privacy right.
To protect information from unauthorised disclosure, we may ask for details reasonably necessary to verify identity and authority. We may ask you to clarify a broad request, particularly if that allows us to locate the relevant information without collecting additional data. We aim to respond within the period required by applicable law and will explain any permitted extension, refusal or fee.
If your information was submitted to a Telomerz Tech service by your employer or another customer, please contact that organisation first because it may control the information and be responsible for responding. We will assist the customer where required by contract and law. If you contact us directly, we may refer the request to the relevant customer unless doing so would be inappropriate or prohibited.
Community spaces and information visible to others
Some community, event or collaboration features may allow information to be seen by other participants. A display name, profile description, contribution, comment, project submission or other material you choose to share in a participant space may be visible to the audience indicated by that space. Do not post confidential information or personal information about another person unless you are authorised to do so.
Information made public can be copied, quoted or redistributed by other people beyond our control. Deleting an original contribution may not remove copies already made by another participant, although we may take reasonable action where a valid legal or policy concern is reported. Community participation must also comply with our Terms of Service and any event- or programme-specific rules.
We may moderate, restrict or remove content to maintain safety, comply with law, enforce our terms or protect the community. Moderation may involve reviewing the content, associated account information and relevant technical records. We do not promise to review every submission before it becomes visible.
Children and younger users
Our public website and business services are not directed to children, and we do not knowingly seek personal information from a child through general enquiry, account or community forms. A person must meet the minimum age required by applicable law to provide consent independently or must participate with valid authorisation from a parent or lawful guardian where such authorisation is required.
Age thresholds and parental-consent rules differ by location and may change as legal provisions commence. If a programme is specifically intended for younger participants, we will provide additional information and use an age-appropriate registration process where required. We do not knowingly use a child’s personal information for behavioural advertising or tracking.
If you believe a child has provided personal information through a general form without appropriate authorisation, contact us and include enough information for us to locate the record. We will assess the report and take reasonable steps, which may include restricting the account, obtaining appropriate authorisation or deleting the information where required.
Third-party links and services
Our website may link to third-party websites, platforms or services. Those organisations control their own privacy practices, and this policy does not apply to them. Review their privacy information before providing personal information.
A link does not mean that Telomerz Tech controls or endorses every aspect of the third-party service. The third party may collect information directly from your browser, set its own cookies, request account permissions or combine information with records it already holds. Your use of that service is governed by its own terms and privacy notice.
If you activate an optional integration, you may direct information to move between Telomerz Tech and the selected provider. Review the requested permissions before activation and disconnect the integration when it is no longer needed. Disconnecting may stop future transfers but may not automatically delete information already received by either party.
Changes to this Privacy Policy
We may update this policy to reflect changes in our website, services, suppliers, legal requirements or privacy practices. The “Last updated” date in the Contact section shows when this version was revised.
When a change is material, we may provide additional notice through the website, an account, a service message or another appropriate channel. The method and timing of notice will depend on the significance of the change, the information available to contact affected people and applicable law.
Unless a later date is stated, an updated policy applies when posted. Where new consent is required for a new purpose, posting an updated policy alone will not replace that consent. Earlier versions may be retained for legal and administrative records.
Contact us
Contact us with a privacy question, request or complaint. Please describe your request clearly and avoid sending unnecessary sensitive information.
For a rights request, tell us the nature of your relationship with Telomerz Tech, the service or communication involved and the right you wish to exercise. Do not send a complete identity document in the first email. If identity verification is necessary, we will explain what is reasonably required and how it should be provided.
For a grievance or suspected privacy incident, include the relevant date, service and a clear description of the concern. Please do not send passwords, authentication tokens or unnecessary copies of other people’s information. We will acknowledge and review the matter through our applicable grievance and incident-handling process.
